Privacy Policy – ActMate

ActMate ("we", "us", "our") is a mobile application that helps users practice scripts and prepare for auditions using AI-powered tools. Your privacy is our priority.

1. Data Controller

2. Information We Collect

• Account Information: Managed via Auth0 (Email or third-party login).
• User Content: Scripts (PDFs/Photos), text inputs, and voice recordings. We require camera and microphone access for rehearsal and self-tape features.
• Technical Data: Device info, crash logs, and performance analytics (Sentry/Grafana Cloud).
• Subscription Data: Managed via RevenueCat. We do not store credit card details.

3. IMPORTANT: CONFIDENTIALITY & NDA WARNING

ActMate is a tool for rehearsal and preparation. We strongly recommend that you do NOT upload scripts or materials that are subject to strict Non-Disclosure Agreements (NDAs), high-security confidentiality requirements, or studio-mandated "watermarked" distribution rules.

While we use secure processing and encryption, if you choose to upload such materials, you do so entirely at your own risk. You are solely responsible for ensuring that your use of ActMate complies with any contractual obligations you have with production companies, studios, or third parties.

4. How We Use Your Data

We process data to:

• Provide AI-powered script analysis and responses (via OpenAI & ElevenLabs).
• Maintain your account and store your progress.
• Manage subscriptions and monitor app health.

Zero-Retention AI: Scripts sent to OpenAI are processed using zero-retention models, meaning they are not stored by the AI provider to train their models.

5. Data Storage & Retention

• Database (Supabase): To allow you to access your rehearsals across devices, your uploaded scripts and voice recordings are stored securely in our Supabase database (PostgreSQL).
• Cloud Storage (Cloudflare R2): Files like script PDFs are stored here.
• Video Recordings: Self-tape videos are stored only on your device unless you explicitly choose to export or sync them.

Retention: We retain your data only as long as your account is active. You may request the deletion of your account and all associated data at any time via the app or email.

6. Statutory Cooling-Off Period (UK/EU)

If you are a consumer in the UK or EU, you have a 14-day legal right to withdraw from a digital subscription.

By initiating the Service (including using a free trial or starting a rehearsal), you request and express consent for the digital Service to be made available to you immediately. You acknowledge that this results in the loss of your right to withdraw from the contract and receive a refund once the Service has begun.

7. Third-Party Services

We use industry-standard providers to run ActMate:

• Auth0 (Security/Login)
• Supabase & Google Cloud (Data Hosting)
• OpenAI & ElevenLabs (AI Logic & Voice)
• RevenueCat (Payments)
• Sentry & Grafana Cloud (Error Monitoring)

8. International Data Transfers

We are based in the EU. When data is processed outside the EEA (e.g., by US-based providers like OpenAI), we ensure appropriate safeguards (Standard Contractual Clauses) are in place to protect your information.

9. Your Rights & Children's Privacy

GDPR Rights: You may access, correct, delete, or restrict your data.

Children: ActMate is intended for users aged 13+. We do not knowingly collect data from children under 13.
